Send a collection letter for an unpaid invoice

A PostalGenie customer sending a letter from her phone, a team member carrying printed letters, and a recipient opening their mail.

Tell Genie who owes you and for what. It drafts a firm, professional letter, we verify the business address, and mail it.

First-Class from $4.99 · Certified Mail $14.99 with tracking and a delivery record

What this letter is

A collection letter for an unpaid invoice is a written demand for payment on work already delivered. For a freelancer, contractor or small business, it is the step between emails that get ignored and either a collections agency or small claims — and it is far cheaper than both. Its job is to move the invoice out of a client's inbox and onto someone's desk, with a date attached.

What to put in it

  • Your business name, address and contact details.
  • The invoice number, date, amount and the work it covers.
  • The original due date and how many days past due it now is.
  • Any late fees or interest your contract or invoice terms allow.
  • A specific payment deadline and how to pay.
  • What happens after the deadline, stated factually.
  • A copy of the invoice and the signed contract or purchase order.

Email to a late payer is easy to ignore and easy to claim was never received. A mailed letter reaches the office physically, reads as a business escalating, and — sent Certified — comes with a delivery record you can put in front of a court.

Good to know.

Can I send several of these?

Yes — each letter is priced on its own, from $4.99 First-Class or $14.99 Certified, with no subscription. Many small-business senders run a First-Class reminder first and a Certified demand second.

Can I attach the invoice and contract?

Yes. Upload them and they are printed and mailed behind your letter; Genie can also pull the invoice number, dates and amounts into the draft. Letters run up to 12 pages.

Can I send it to a business found by name?

Yes. Enter the company name and Genie searches for a mailing address, checked against postal databases before you pay. Address lookup is best-efforts, so confirm it before approving.
