What this letter is
A repair request letter is written notice to a landlord, property manager or HOA that something in the unit needs to be repaired. This matters more than it sounds: in most states a landlord's repair obligations and a tenant's remedies only start running once the landlord has been given notice, and written notice is what makes that date provable. Verbal requests to a leasing office frequently leave no trace at all.
What to put in it
- The rental address and unit number, and your contact details.
- Exactly what is broken or unsafe, and where in the unit.
- When you first noticed it and every time you have reported it, with dates.
- Any effect on habitability — no heat, no hot water, a leak, pests, a safety hazard.
- A reasonable deadline for the repair to be made.
- Photos, if you have them — they are printed and mailed with the letter.
The notice date is the whole point. A mailed letter — especially Certified, with a delivery record — fixes the date the landlord was told, which is the fact everything else in a repair dispute hangs off.

Yes. Give Genie the management company's name and it searches for a mailing address for you to confirm. If your lease names an address for notices, use that one — leases usually specify where notice must go.
