Re: Request for inspection records under the state public records act

Dear Records Officer,

Under the state public records act, I am requesting copies of the building inspection records for 45 Maple Court, Anytown, for the period January 1, 2024 to the present.

Specifically, I am asking for inspection reports, any notices of violation issued, and any correspondence between your department and the property owner about those violations. If any part of this request is denied, please cite the exemption relied on and release the remainder.

Please confirm receipt and let me know the cost of copying before it is incurred. I can be reached by mail at the address above.

Sincerely,
John Doe

What this letter is

An information request asks an organization to give you records it holds — inspection reports from a city department, your own file from a company, correspondence about a decision that affected you. Public bodies answer these under the federal Freedom of Information Act or their state's public records act, and both start the clock on a response only once a request is received. A mailed request is how you fix that date.

What to put in it

  • The law you are requesting under, where one applies.
  • Exactly which records you want — a description someone unfamiliar with the matter could act on.
  • The date range, and any reference, permit or case numbers that identify them.
  • A request that partial denials cite the exemption relied on and release the rest.
  • A ceiling on copying costs, or a request to be told the cost before it is incurred.
  • Where to send the records, and how to reach you with questions.

Public records statutes run on deadlines counted from receipt, so what matters is being able to show when the request arrived. A mailed request leaves you holding a dated copy of precisely what you asked for, and Certified Mail adds USPS tracking and a delivery record — the thing to have if a deadline passes without an answer.

Good to know.

Is this a FOIA request?

It can be. The federal Freedom of Information Act covers federal agencies; state and local bodies answer under their own state's public records act. Tell Genie who holds the records and it will draft the request accordingly.

Should I send it Certified?

If a statutory deadline matters to you, yes — Certified Mail gives you tracking and a delivery record, so the response clock has a documented start.

Can I request records about myself from a company?

Often, yes, though the right depends on where you live and what the company does. Genie drafts from the facts you give it and does not provide legal advice.
