What this letter is

An invoice letter asks a customer to pay for work done or goods supplied, and records what the charge is for. Most invoicing happens by email, but a mailed invoice reaches an accounts-payable department that files paper, gets past a spam filter that silently drops attachments, and gives you a dated record of exactly what you billed and when. It is also the usual next step when emailed invoices have gone unanswered.

What to put in it

  • An invoice number, and the date you issued it.
  • Who the invoice is from, including the address payment should be sent to.
  • What is being charged for — each item or visit, its date, and its amount.
  • The total due, and any tax shown separately.
  • The payment terms and the date payment is due.
  • How to pay, and a reference to quote when paying.

A mailed invoice lands in the accounts-payable process most businesses still run on paper, and leaves you holding a dated copy of precisely what you billed. Yes — attach the pages and they are printed and mailed behind the letter. Pages after the first are $0.49 each.

Should I send an invoice by Certified Mail?

For a routine invoice, First-Class is normally enough. Certified Mail is worth the extra when an invoice is already overdue and you may need to show the client received it.

Does PostalGenie handle the payment itself?
