What this letter is

A statement of account summarises a period rather than a single job: the invoices issued, the payments received, and the balance still outstanding. Businesses send them monthly or quarterly so both sides can reconcile their records before a disagreement hardens. Mailing a statement puts it in front of whoever opens the post at a company where emailed reminders never reached the right desk.

What to put in it

  • The period the statement covers.
  • Each invoice in the period, with its number, date and amount.
  • Each payment received, with its date and amount.
  • The balance outstanding at the end of the period, and when it falls due.
  • A line inviting the customer to raise any discrepancy before the next statement.

A statement is a reconciliation, and reconciliations get settled by whoever is holding the paper. Mailing one reaches the accounts department directly and leaves you with a dated copy of the balance you claimed on that date — which is the record you want if the account later has to be chased formally.
